Operations & office manager

part-time
We’re not looking for someone who waits to be asked. We’re looking for someone who sees what needs to happen, makes it happen, and moves on to the next thing. Luxeparel is a growing luxury consignment boutique in Antwerp. Our team is expanding, we’re relocating in 2027, and the person running our back office is moving on. We need a replacement who raises the bar.

WHAT YOU DO

You own everything that happens behind the scenes. HR administration, bookkeeping support, office management, planning and beyond that, whatever the business needs to run smoothly. You don’t wait for a task list. You build your own.

In practice:

  • Personnel administration: contracts, social documents, dimona, onboarding
  • HR point of contact for the team
  • Basic bookkeeping tasks: expense tracking, invoice processing, coordination with our accountant
  • Office management: you make sure the team has what they need, from coffee to contracts
  • Research and follow-up on subsidies, premiums, and business opportunities
  • Planning and scheduling support
  • Active support in the 2027 relocation: logistics, coordination, administration
  • Anything else that keeps the back office running without friction

WHO YOU ARE

The key word is proactive. Not proactive as in “I respond quickly.” Proactive as in: you identify a gap before it becomes a problem, you research a question before it gets asked, you come back with an answer, not a dead end.

You have:

  • Experience in HR administration, office management, or a similar autonomous back office role
  • Working knowledge of Belgian social legislation and basic bookkeeping
  • Strong research skills: you don’t give up when the first Google search returns nothing
  • Excellent organisational instincts and a high standard for follow-through
  • Discretion: you handle sensitive financial and HR information daily

You are:

  • Autonomous: you don’t need to be managed
  • A problem-solver: you find the answer, not the obstacle
  • Genuinely interested in the business you work for
  • Someone who takes ownership without being asked
  • Comfortable in a fast-moving, entrepreneurial environment where things change quickly
